What the second number does
Robin calls out on it
A patient no-shows at 9:10. By late morning they have had a real voice call asking whether they want the Thursday slot, not a fourth text they will not open. The call comes from a local number, because a call from an unfamiliar area code does not get answered.
Missed calls get texted back
When someone rings your main line and nobody can pick up, they get a text with a booking link, and a task lands for the front desk. The call still went to your phones exactly as it always did. The difference is that the caller who gave up after four rings is no longer simply gone.
What it does not do on its own
Robin can answer calls, but nothing is pointed at it unless you say so. Left alone, your main line rings your handsets and your team picks up exactly as it does today. Answering is a switch you throw later, once you have heard it work, not a condition of getting started.
Questions owners actually ask
- Do I have to port my phone number to use Clinic OS Pro?
- No. Nothing is ported. We add a second local number that runs beside the line you already have. Your main number keeps ringing the same phones on the same system. If you stopped using us tomorrow, your phones would not notice.
- Do we need new handsets or a new phone system?
- No. No hardware. Nothing to install at the desk. No change to how your team answers a call. The software uses the second number to call out and to text back missed calls. Your front desk learns nothing new.
- What actually uses the second number?
- Three things, and you pick how many. Robin calls out from it, so a same-day no-show gets a real voice call instead of another text nobody opens. Robin can answer on it too, if you send calls that way. And when your main line goes unanswered, it texts the caller a booking link and leaves a task for the front desk.
- Will patients be confused by a second number?
- It is a local number in your area code. Patients see a local call from the clinic, which is what it is. Calls to your main line are untouched.
- What happens to the number if we stop?
- It was never your main line, so stopping changes nothing about how patients reach you. Your number, your phones and your contract are exactly as they were. That is the point. Trying this costs you nothing to undo.
